Add attendees to calendar events, track their RSVP status, and set reminders so you and others are notified before the event.

Adding Attendees

How to Add Attendees

  1. Create or edit an event
  2. Find the Attendees (or Invite) section
  3. Search for team members by name
  4. Select them from the search results
  5. Repeat to add more attendees

Attendee List

  • Name — Display name of each attendee
  • RSVP status — Accepted, Declined, or No response (see below)

Attendees must be users in your CrystalQore organization. External guests may be supported depending on your configuration.

RSVP Tracking

Status Meanings

StatusMeaning
AcceptedAttendee has confirmed they will attend
DeclinedAttendee has declined the invitation
No responseInvitation sent; attendee hasn't responded yet

Viewing RSVPs

  • In the event — Open the event to see each attendee's status
  • On the calendar — Some views show a summary (e.g., "3 accepted, 1 declined")

Responding to Invitations

When someone invites you:

  1. You receive a calendar notification (and possibly email, if configured)
  2. Open the event
  3. Click Accept, Decline, or Tentative (if available)
  4. Your response is recorded and visible to the organizer

Reminders

Setting a Reminder

  1. Create or edit an event
  2. Find the Reminders section
  3. Add a reminder and choose the time:
    • 15 minutes before
    • 30 minutes before
    • 1 hour before
    • 1 day before
    • Or a custom value if supported

You can add multiple reminders (e.g., 1 day before and 15 minutes before).

How Reminders Are Delivered

Reminders are sent through CrystalQore's notification system:

  • In-app — Bell icon badge and notification list
  • Desktop — Browser/OS notifications (if enabled in Settings > Notifications)

Ensure notifications are enabled in Settings > Notifications. Without them, you may miss reminder alerts.

Reminders for Attendees

Attendees who accept the invitation typically receive their own reminders based on their notification settings. Reminder timing may be configurable per user.

Best Practices

  • Add attendees early — Gives people time to respond and plan
  • Set reminders — Especially for important or time-sensitive events
  • Check RSVPs — Before the meeting, review who has accepted
