Share files with your team or specific users. Shared files appear in recipients' Shared with Me view.

Sharing Files

Share files in CrystalQore so your team or specific users can view and access them. Shared files appear in recipients' Shared with Me view, and you retain control over who has access.

How to Share

Select the file — Click the file you want to share (or use the row action menu).

Click the share icon — Open the share dialog or share options.

Choose sharing type — Share with the entire team or with specific users.

Confirm — Save or apply. Recipients gain access to the file.

Share with Entire Team

  1. Click the share icon on the file
  2. Select "Share with Team" (or equivalent option)
  3. Confirm

All members of your tenant or organization can now access the file. The file appears in their Shared with Me view (or equivalent).

Share with Specific Users

  1. Click the share icon on the file
  2. Select "Share with users" or "Add people"
  3. Search and select individual users by name or email
  4. Add each user you want to share with
  5. Save or apply

Only the users you added can access the file. They will see it in their Shared with Me view.

Search may auto-complete as you type. Select users from the dropdown to add them to the share list.

Shared with Me View

When someone shares a file with you:

  • It appears under the Shared with Me filter
  • You can open, view, and download the file (depending on permissions)
  • You typically cannot delete the file—only the owner can delete

Permissions

Sharing usually grants view or read access. Depending on configuration, you may be able to:

  • Share with view-only (recipients can view and download)
  • Share with edit (if supported—recipients can modify)
  • Revoke access later by removing users from the share list

Deleting Shared Files

Only the file owner can delete files. If you own a file:

  • Deleting it removes it for everyone you shared it with
  • They will no longer see it in Shared with Me

If someone shared a file with you:

  • You cannot delete it
  • Contact the owner if you believe the file should be removed

Tips

  • Share early — Share files as soon as they're uploaded so the team has access
  • Be specific — Share with specific users when the file is relevant to only a few people
  • Team share — Use "Share with Team" for documents everyone needs (e.g., policies, templates)
