Storage and Quotas
CrystalQore file storage limits, usage indicator, supported file types, and how to free space.
Storage and Quotas
CrystalQore allocates file storage per tenant. This page explains the storage limit, how to monitor usage, supported file types, and how to free space when needed.
Storage Limit
Each tenant has a 10GB storage limit. This limit applies to all files uploaded by users in the tenant—shared files count once, not per recipient.
Storage limits may vary by plan or configuration. Contact your administrator for your organization's specific quota.
Storage Usage Indicator
The storage usage indicator shows how much space your tenant has used:
- Usually displayed in the Files area (header, sidebar, or settings)
- May show as a bar (e.g., 3.2 GB / 10 GB) or percentage
- Helps you track usage and plan before hitting the limit
When approaching the limit, consider:
- Deleting old or unused files
- Archiving large files externally
- Requesting a quota increase from your administrator (if available)
Supported File Types
CrystalQore supports these file types for upload and storage:
| Category | Formats | Notes |
|---|---|---|
| Documents | PDF, DOCX, XLSX | Common office and document formats |
| Images | JPEG, PNG, GIF | Standard image formats |
| Audio | MP3, WAV | Common audio formats |
| Video | MP4, WebM | Web-compatible video formats |
- Preview — Supported types may have thumbnails or in-app preview
- Download — All stored files can be downloaded
- Unsupported — Other file types may be rejected or stored without preview; check with your administrator
Freeing Space
When you need to free space:
Delete Unused Files
- Go to Files and filter by My Files
- Identify files you no longer need
- Select the file and choose Delete (or use the trash icon)
- Confirm deletion
Deleted files are typically removed permanently and cannot be recovered.
Remove Shared Files You Own
If you've shared files you no longer need:
- Delete the file (as owner, you can always delete your own files)
- The file is removed for you and everyone you shared it with
Avoid Duplicates
- Check before uploading if a similar file already exists
- Use consistent naming to avoid accidental duplicate uploads
Deleted files are usually permanently removed. Export or back up important files before deleting if you may need them later.
Best Practices
- Monitor regularly — Check the storage indicator periodically
- Clean up — Remove drafts, old versions, and temporary files
- Compress — Compress large files (e.g., images) before upload when possible
- Archive elsewhere — For long-term retention, consider moving old files to external storage
