Auto-generate video meeting room links for calendar events. Share with attendees; they can join from the event or via the direct link.
Meeting Links
When creating a calendar event, you can auto-generate a video meeting room link so attendees can join with one click. The link is included in the event details and shared with everyone invited.
Adding a Meeting Link
- Create or edit an event (see Creating Events)
- Find the Add Meeting Link (or Video meeting) toggle
- Turn it on
- A unique meeting room link is generated automatically
- Save the event
The link is stored with the event and visible to all attendees.
Meeting links use CrystalQore's built-in video meeting infrastructure. No external service (e.g., Zoom, Meet) is required unless your organization has configured one.
How Attendees Join
From the Calendar Event
- Open the event (from calendar, notification, or invitation)
- Find the meeting link in the event details
- Click the link
- The video meeting room opens—attendees can join with just their name (guests) or automatically (logged-in users)
Via Direct Link
- The meeting link can be copied and shared (email, chat, etc.)
- Anyone with the link can join, even if they're not a CrystalQore user
- Guests typically enter their name before joining
Guest Access
Guests (people without a CrystalQore account) can join using the meeting link:
- Click the link
- Enter name when prompted
- Grant microphone and camera permissions (for video)
- Join the meeting
Guest access may be restricted by your administrator. If guests cannot join, check organization policies.
Meeting Room Behavior
- Persistent — The same link works for the duration of the event (and possibly before/after, depending on configuration)
- Waiting room — Some setups use a waiting room; the host admits participants
- Recording — Recording may be available; check with your administrator
Best Practices
- Add the link before sending invites — So attendees see it in the initial invitation
- Include in description — For redundancy, paste the link in the event description
- Test the link — Join a few minutes early to confirm audio/video work
