Scheduled Meetings

Scheduled meetings link video conferencing to your calendar. When you create a calendar event with "Add Meeting Link" enabled, CrystalQore auto-generates a meeting room link and attaches it to the event. Attendees receive the link in their calendar notification and can join at the scheduled time.

Creating a Scheduled Meeting

Create a calendar event — Open the Calendar and create a new event (or edit an existing one).

Enable "Add Meeting Link" — Check the option to add a video meeting link to the event.

Save the event — A meeting room link is auto-generated and attached to the event.

Invite attendees — Add attendees to the event. They receive the meeting link in their calendar notification.

What Attendees Receive

  • Calendar invite — The event appears on their calendar with title, time, and description
  • Meeting link — The video meeting URL is included in the event details
  • One-click join — Clicking the link opens the meeting in the browser; no separate app needed

Meeting Lobby

Before the scheduled start time, participants who click the link may see a lobby with:

  • Countdown timer — Shows time remaining until the meeting starts
  • Meeting details — Title, organizer, and scheduled time
  • Join button — Becomes available (or more prominent) when it's time to join

Some configurations may allow early joining. The lobby helps set expectations and lets participants prepare (e.g., check camera and mic) before the official start.

Organizer Experience

As the meeting organizer:

  • You receive the same meeting link as attendees
  • You can join from the Calendar by clicking the event (or the meeting link)
  • You have host controls (mute participants, etc.) if your role supports it
  • The meeting room persists for the duration of the event

Recurring Meetings

For recurring calendar events with a meeting link:

  • Each occurrence typically uses the same meeting room and link
  • Attendees use the same URL for every instance—no new link per occurrence
  • Convenient for weekly standups, team syncs, or regular customer calls

Tips

  • Add the link early — Enable "Add Meeting Link" when creating the event so attendees get it in the initial invite
  • Include in description — Some calendar clients display the link in the event body; ensure attendees know where to find it
  • Test the link — Before the meeting, click the link to confirm the room is ready
