Sharing Contacts

You can share contacts with teammates so they can view and use them. Understanding visibility—private, shared, and internal—helps you manage who sees what.

Contact Visibility

Private Contacts

Contacts you create in My Contacts are private by default. Only you can see and use them unless you explicitly share them.

Shared Contacts

When you share a contact, the recipient(s) can view it in their Shared with Me section. They can use the contact for calling, emailing, or reference. Whether they can edit depends on sharing permissions.

Internal Contacts

Internal contacts come from your PBX directory (FusionPBX). They are automatically visible to everyone in your organization—no sharing needed. Internal contacts sync from the PBX; you cannot change their visibility in CrystalQore.

How to Share a Contact

  1. Open the contact — Select the contact you want to share.
  2. Open the share option — Use the Share button or menu (often represented by a share or person-add icon).
  3. Select recipients — Choose the team member(s) to share with.
  4. Confirm — Complete the share action. Recipients will see the contact under Shared with Me.

Sharing behavior may vary. Some setups allow sharing multiple contacts at once or to groups. Check your organization's configuration.

Viewing Shared Contacts

Shared contacts appear in the Shared with Me view. You can:

  • View contact details
  • Use quick actions (call, email) when data is available
  • Search shared contacts like your own

If the sharer revokes access, the contact may disappear from your Shared with Me list.

Internal Contact Sync

Internal contacts are auto-synced from your FusionPBX PBX. The sync includes:

  • Extensions
  • Users
  • Other directory entries configured in the PBX

You do not create or delete internal contacts in CrystalQore—they reflect the PBX directory. Updates in the PBX (new users, changed extensions) appear in Contacts after the next sync.

Internal contacts are read-only in CrystalQore. To change internal users or extensions, use your PBX admin interface.

Permissions

  • Private — Only you see the contact
  • Shared — Selected recipients see the contact in Shared with Me
  • Internal — All organization members see the contact (PBX-driven)

Your administrator may restrict sharing or limit who can share. If sharing options are disabled, contact your admin.
