Organizing Notes
Keep your notes organized with pinning, colors, search, duplicate, and export. Find what you need quickly and maintain a clutter-free note library.
Pin
Pinned notes stay at the top of your note list.
- Open a note
- Click the pin icon (usually in the note header or toolbar)
- The note is pinned and appears at the top
Use pinning for:
- Frequently referenced notes
- Active projects
- Important references (e.g., meeting templates, procedures)
Unpin by clicking the pin icon again to return the note to normal ordering.
Colors
Color-coding helps you organize notes visually. Choose from 8 colors:
| Color | Use case |
|---|---|
| Default | No color; standard appearance |
| Red | Urgent, high priority |
| Orange | Important, attention needed |
| Yellow | Highlights, reminders |
| Green | Completed, approved, positive |
| Blue | Information, general |
| Purple | Creative, special projects |
| Pink | Personal, miscellaneous |
To apply a color:
- Open the note or use the note's context menu
- Select Color or the color picker
- Choose one of the 8 colors
Colors appear as a tint or badge on the note in the list view, making it easy to scan by category.
Search
Search finds notes by content across your entire library.
- Type in the search bar (usually at the top of the Notes view)
- Results update as you type
- Click a result to open that note
Search typically matches:
- Note title
- Note body content
- Text within the note
Search is instant—no need to press Enter. Results narrow as you type more characters.
Duplicate
Duplicate creates a copy of an existing note.
- Open the note you want to copy
- Click Duplicate (or the duplicate icon)
- A new note is created with the same content
- Edit the duplicate as needed
Use duplicate for:
- Templates—create a base note and duplicate for new instances
- Variants—copy a note and modify for a similar purpose
- Backups before major edits
Export
Export downloads the note's content.
- Open the note
- Click Export (or Download / Export from the menu)
- The note content is downloaded—typically as plain text, Markdown, or HTML depending on configuration
Use export for:
- Archiving notes outside CrystalQore
- Sharing with others who don't have access
- Backup before deleting
- Importing into other tools
Best Practices
- Pin sparingly — Pin only 3–5 notes so the top stays manageable
- Use colors consistently — Assign colors by category (e.g., all project notes in blue)
- Search often — Don't rely on scrolling; search when you need something specific
- Duplicate templates — Keep template notes and duplicate when starting something new
