Share your calendar with team members. Control who can see your schedule and manage shared calendar access.

Calendar Sharing

Calendar sharing lets you give team members visibility into your schedule. Shared users can see your events, making it easier to coordinate meetings, avoid conflicts, and collaborate on scheduling.

How It Works

When you share your calendar with a colleague:

  • They can see your calendar events in their calendar view
  • Your events appear alongside their own, helping them find available times
  • Sharing is one-directional — sharing your calendar with someone does not automatically give you access to theirs

Sharing Your Calendar

Open the Calendar module — Navigate to Calendar from the sidebar.

Click "Share My Calendar" — Look for the share button in the calendar header or settings area.

Search for team members — Type a name or email to find colleagues in your organization.

Select people — Click to add them to your share list. You can share with multiple people.

Save — Click Save to apply the sharing settings. Selected team members can now see your calendar.

Viewing Who Has Access

  1. Open the calendar sharing dialog
  2. Your current share list shows all team members who can see your calendar

Removing Access

  1. Open the calendar sharing dialog
  2. Click the remove button next to the person you want to revoke access from
  3. Save — they can no longer see your calendar

Viewing Shared Calendars

If a colleague has shared their calendar with you:

  • Their events appear in your calendar view (typically with a different color or label)
  • You can toggle shared calendar visibility on or off
  • You cannot edit events on someone else's shared calendar — only view them

Tips

  • Share selectively — Only share with people who genuinely need visibility into your schedule
  • Combine with meeting links — Share your calendar and include meeting links in events for easy joining
  • Check availability before scheduling — View shared calendars to find open slots before creating a meeting invite

Calendar sharing respects your organization's privacy settings. If your administrator has configured calendar privacy policies, some event details may be hidden from shared viewers (they may see "Busy" instead of full event details).
