Connect Gmail, Outlook/Microsoft 365, or IMAP email accounts to CrystalQore. Step-by-step OAuth and manual configuration.
Email Account Setup
CrystalQore supports three ways to connect your email: Gmail OAuth, Outlook/Microsoft 365 OAuth, and manual IMAP configuration. You can connect multiple accounts and switch between them in the email interface.
Connecting Gmail
Gmail uses OAuth for secure, password-free authentication. CrystalQore requests read and send permissions — your password is never stored.
Open Email — Navigate to the Email module from the sidebar.
Click "Add Account" — In the account selector panel, click the add account button.
Select Gmail — Click the Gmail / Google button.
Sign in to Google — You'll be redirected to Google's consent screen. Sign in with your Google account and grant CrystalQore access to read and send email.
Return to CrystalQore — After authorization, you're redirected back. Your Gmail account appears in the account list, and folders begin syncing automatically.
If your organization uses Google Workspace, your administrator may need to allow CrystalQore as an authorized app before you can connect.
Connecting Outlook / Microsoft 365
Outlook uses Microsoft OAuth. The process is similar to Gmail.
Click "Add Account" — In the email module, click the add account button.
Select Outlook — Click the Outlook / Microsoft 365 button.
Sign in to Microsoft — You'll be redirected to Microsoft's login page. Sign in and grant permissions.
Return to CrystalQore — After authorization, your Outlook account appears and folders sync.
For Microsoft 365 business accounts, your IT administrator may need to approve the OAuth consent request from the Azure AD admin portal.
Connecting IMAP (Manual)
For email providers that don't support OAuth, or for self-hosted email servers, use manual IMAP configuration.
Click "Add Account" — Then select IMAP / Other.
Enter your email address and display name — The display name appears as the sender name on outgoing messages.
Configure IMAP settings — Enter the incoming mail server details:

Optional: Configure SMTP — If your SMTP settings differ from IMAP defaults, enter the SMTP host and port. Otherwise, CrystalQore derives them automatically.
Click Connect — CrystalQore tests the connection. If successful, your account is added and folders sync.
If your email provider uses two-factor authentication, you may need to generate an app password instead of using your regular password. Check your provider's documentation.
Managing Accounts
Set Default Account
If you have multiple accounts, set one as your default. The default account is pre-selected when composing new emails.
- Go to the email module
- Click the settings or account management area
- Toggle Default on the account you want
Remove an Account
- Click the account options menu (three dots or settings icon)
- Select Remove Account
- Confirm the removal
Removing an account disconnects it from CrystalQore. Your emails remain on the mail server — nothing is deleted from Gmail, Outlook, or your IMAP server.
Troubleshooting
OAuth Redirect Fails
- Ensure pop-ups are not blocked for your CrystalQore domain
- Try a different browser if the redirect loop doesn't complete
- For Google Workspace / Microsoft 365, check with your IT admin for app approval
IMAP Connection Fails
- Verify the host, port, and SSL settings match your provider's documentation
- Ensure the username and password are correct (use an app password if 2FA is enabled)
- Check that your firewall or network allows outbound connections on the IMAP port
Folders Not Syncing
- Allow a few seconds after adding the account for initial sync
- If folders still don't appear, try removing and re-adding the account
- Large mailboxes may take longer to index
