Email Templates

Create reusable email templates with subject lines and body content. Share templates with your team for consistent communication.

Email Templates

Email templates let you save pre-written subject lines and message bodies that you can apply when composing emails. Use them for common responses, outreach messages, support replies, or any email you send repeatedly.

Creating a Template

Open template settings — Navigate to your email settings or find the Templates section in the email module.

Click "New Template" — Start creating a new template.

Name the template — Give it a clear name (e.g., "Welcome Email", "Support Response - Password Reset", "Meeting Follow-Up").

Set the subject — Enter the email subject line that should be used when this template is applied.

Write the body — Compose the email body using the rich-text editor. Format text with bold, italic, and links as needed.

Share (optional) — Toggle Shared to make the template available to your teammates. Unshared templates are only visible to you.

Save — Click Save to store the template.

Using a Template When Composing

While composing an email:

  1. Click the Template dropdown in the compose toolbar
  2. Browse or search your templates (personal and shared templates both appear)
  3. Click a template to apply it

The template's subject and body replace the current compose content.

Applying a template overwrites the current subject and body. If you've already started writing, save your draft first or copy your text before applying a template.

Shared Templates

When a template is marked as Shared, all team members in your organization can see and use it when composing emails. This is useful for:

  • Support teams — Standardized responses to common questions
  • Sales teams — Consistent outreach messaging
  • Company-wide — Announcement templates, onboarding emails

Only the template creator can edit or delete a shared template.

Editing a Template

  1. Open the templates list
  2. Click the edit button on the template you want to modify
  3. Update the name, subject, body, or shared status
  4. Save your changes

Edits apply to future uses only; previously sent emails are not affected.

Deleting a Template

  1. Open the templates list
  2. Click the delete button
  3. Confirm the deletion

Shared templates become unavailable to all team members when deleted.

Tips

  • Name templates descriptively — Include the use case in the name so they're easy to find
  • Keep shared templates professional — Team members will use them as-is
  • Combine with signatures — Apply a template for the body, then insert your signature for a complete email
  • Review periodically — Update templates when processes, products, or contact information change
